Access Policy

 
The American College of Greece (ACG) Archives, following its Collection Policy as an Institutional Archives and Collecting repository, selects, documents and preserves the history, growth and development of the College as well as the personal papers of selected individuals. 
 
The ACG Archives grants permission to scholars and the general public for non-commercial use of its Collections after request and registration. Access to ACG Archives is subject to College policies and donor restrictions. 
 
More specifically, permission for Access to ACG Collections is granted in accordance to the following rules: 
 
  • Institutional records in general distribution at their time of creation are open for research without restriction, after the completion of archival processing. The records include announcements, official College publications, student journals, calendars, policies, brochures and public reports, speeches and important events. 
  • Institutional records created by different departments (minutes, interoffice communication, etc.) may be closed for a certain period of time from the date of their creation according to the Retention scheme of each Department.
  • Institutional records pertaining to individuals, including student and employee records, are closed for a minimum of 80 years.
  • Personal archives of faculty, administrators, students and alumni/ae, or archives from the Special Collection of the College, may be subject to additional restrictions placed by the donor. 
Permission to reproduce or publish material from the Archival collections require two separate applications:
 
  1. Permission for Digital Reproduction:
All Digital Reproduction requests are subject to the approval of the archivist, following College policies and donor restrictions. 
 
The visitors are requested to fill in the Request to Reproduce Material form and submit it to the archivist. There is a limit of 20 images per request and the reproduction of material may take up of 10 working days to be delivered depending on workload and the availability of resources. 
 
All images provided by the ACG Archives will be digital (jpg format unless otherwise requested) at a minimum resolution of 300 dpi and will be delivered by download link, or in the case of in-person requests, CD/DVD/USB. 
 
ACG Archives may limit access to digital reproductions, depending on the physical condition and format of the originals. 
 
The creation of personal reference copies and the use of personal digital cameras and audio recorders of unpublished manuscripts is only allowed under certain conditions when physical access to the ACG Archives is not possible.
 

2. Permission for Publications:

The publication of any type of material from ACG archival collections for personal, scholarly, or academic use in print or digital form (or both), requires the permission of the archivist following College policies and donor restrictions and the visitors are requested to fill in the Notification of Intent to publish from a manuscript collection” form or in the case of images the “Notification of Intent to Publish Images” form. 
 

Notification of Copyright

Documents, photographs, slides, and other media owned by the American College of Greece may be protected by copyright, trademark, or a related interest not owned by the ACG. It is the responsibility of the applicant to determine whether any such rights exist and to obtain the necessary permission for use.
